Who we are
The Athlete Approach (Aaron Richardson) ("we", "our", "us") is a UK-based personal training and performance coaching practice based in Mayfair, London. Our data controller contact is info@aaronrichardsonpt.com. TODO(intake): confirm trading entity, registered address, and whether contracts are issued under personal name or "The Athlete Approach" trading name.
What personal data we collect
- Contact details you provide when booking (name, email, phone)
- Health screening information you provide for safe programme design (medical history, current medications, prior injuries, any contraindications)
- Training data captured during coaching (loads lifted, performance test results, recovery and RPE scores, body composition where relevant)
- Wearable data you choose to share (HRV, sleep, training load) for programming and review
- Payment information processed securely via our payment provider
- Website analytics — only after you accept the consent banner — via PostHog (EU region). We capture page views and clicks on call/booking buttons. We never capture form-input text, names, addresses, or any health detail.
How we use your data
Your personal and health information is used solely for the purpose of providing safe, effective coaching, legally required record-keeping, and keeping you informed about your own programme. We do not sell data, we do not share data with third parties for marketing, and we do not share your training data with any party other than referral practitioners you have explicitly consented to share with (Wellness Concierge clients only).
Your rights
Under UK GDPR you have the right to access your data, correct inaccuracies, request deletion (subject to legal retention requirements), restrict processing, and lodge a complaint with the Information Commissioner's Office. To exercise any right, contact info@aaronrichardsonpt.com.
How long we keep your data
Coaching records are retained for 6 years after the end of the coaching relationship (matching standard UK contract / professional-liability retention). Marketing consent can be withdrawn at any time; withdrawal takes effect within 7 working days. Website analytics data is processed by PostHog Inc. in the EU region (Frankfurt) under their EU Data Processing Addendum and retained for 7 years from collection or until you withdraw consent — whichever comes first.
